Onboarding New Agents with HGAR & OneKey® MLS

77-hour Salesperson qualifying education courses offered through HGAR:
- Live Virtual: Scheduled course with instructor support and guidance.

Successful completion of the 77 Salesperson Licensing Course includes passing the final exam at the end of the course
Real Estate Licensing Fees
- Cost of 77-hour Salesperson Qualifying course: varies
- NYS Written Exam: $15
- Initial Application fee: $65 + $10 surcharge (effective Jan 20, 2022)
Must hold a valid New York State Real Estate License. (search DOS for active licenses)
Include copy of license OR DOS printout OR write License Registration Number & Expiration date on Application.
Applications:
HGAR REALTOR® Application: Application to join the Hudson Gateway Association REALTORS® (Also includes New York State Association of REALTORS® (NYSAR) and National Association of REALTORS® (NAR))
- Dues: $100 Processing Fee + $581 Annual Realtor Dues (Prorated Monthly – Dues schedule)
An agent already a primary REALTOR® member in good standing with another association may join HGAR as a secondary member and would pay local HGAR Dues Only (A Letter in Good Standing from Primary REALTOR® Association must be submitted along with HGAR REALTOR® application)
OneKey® MLS Subscriber Application: (licensee/agent): MLS Rules require that all licensees affiliated with Broker Participants, subscribe to OneKey MLS unless that licensee is an active subscriber to another MLS. (Must hold REALTOR® membership. If REALTOR® membership is held elsewhere, a Letter in Good Standing from Primary REALTOR® Association must be submitted along with Subscriber application)
- Fees: $200 Subscriber Start-up Fee + $175 Annual Subscriber fee (prorated monthly)
- If you have a licensee who is a member another MLS and does not need access to OneKey® MLS please fill out the Waiver Form of OneKey® Subscriber Fees.

HGAR New Member Orientation:
- The New Member Orientation is a requirement for membership in the Hudson Gateway Association of REALTORS®.
- Failure to attend the HGAR New Member Orientation within 30 days will result in the suspension of membership and access to OneKey® MLS.
- This course will also satisfy NAR’s Mandated Code of Ethic requirement. Current Period: January 1st, 2022 – December 31st, 2024.

OneKey® MLS Orientation:
- The MLS Orientation goes over the Rules & Procedures of Onekey® MLS.
- Although it is only Mandatory for Brokers to attend, we strongly suggest that anyone using the system take the course.

Additional MLS training Classes
SentriLock Lockbox is the lockbox system used by OneKey® MLS
The service facilitates convenient and secure access to OneKey MLS listings. There is a lockbox access fee for the service, which includes an App on the members mobile device which can provide access to the SentriLock lockbox key containers. New Agents will receive a link to register for SentriLock service in the welcome email. This will provide them information on how to pay and signup for the service.
- Lockbox access fee (App): $125 + Tax (Tax is based on office location, outside of NY there is no tax)
- Lockbox lease: $110 each + Tax (Tax is based on pickup location)
Does your office assistant/admin need access to the office lockbox inventory to assist with temporary access?
If so, the Broker/Office Manager needs to send an email request to support@HGAR.com

Once you have been issued a license for your new branch office with the department of state you can submit the paperwork to us for a branch office.
- HGAR: No additional Fee for a branch office
- OneKey MLS Fees for a branch office: $640 ($450 Branch office Start-up Fee + $190 Monthly Participation Fee)

Licensees who will be working out of the branch office will need to have their licenses transferred to the branch office with the Department of State before we can make any transfers in our system. (see: Transferring a licensee to your office)
A termination of a salesperson or an associate broker license must be completed online with the department of state before we can make any changes in our database.
Note: It is a Department of State (DOS) policy that the principal broker terminates a licensee on the DOS website within five days from the date the licensee leaves the broker’s employment.

What HGAR needs from you:
- Agent Change of affiliation form (Include Agent’s Member ID Number)
- A Copy of the “Termination Association - Summary” page.

Reminder: When terminating an agent from your office make sure you assign any Active listings to another agent in the MLS System.
Transferring a salesperson or an associate broker license must be completed online with the department of state before we can make any changes in our database.
Note: You cannot transfer a licensee to your office until the previous broker has terminated the licensee from their office.

If the licensee is NOT an HGAR Member/One Key MLS Subscriber:
- Follow the steps under "You have a new licensee who is going to join HGAR & OneKey® MLS, what do they need?"
Please note: If a salesperson or an associate broker license has expired and they are switching companies, the new broker must transfer the license to their company before they can renew their license. (See above on how to transfer a license)
New York Department of State (DOS) Requirements for Continuing Education:
New licensing requirements took effect on July 1, 2021
There is no more “grandfathering”, meaning ALL LICENSEES MUST COMPLY WITH THE CE REQUIREMENTS
All licensees must complete 22.5 hours of CE credit, including:
- 3 hours of fair housing education
- 1 hour agency education (2 hours if in 1st license cycle)
- 2.5 hours of ethical business practices
- 1 hours of recent legal matters
- 2 hours of Implicit Bias education (effective September 21, 2022)*
- 2 hours of Cultural Competency education (effective September 21, 2022)*

Realtors are required to complete periodic Code of Ethics training of no less than 2 hours, 30 minutes of instructional time. The training must meet specific learning objectives and criteria established by the National Association of REALTORS®.
Current Period: January 1, 2022– December 3, 2024.
